Job Summary

As a member of the team, you will be responsible for implementing a structured administration function and implementing effective policies and procedures to support the business and help the team operate as effectively as possible.

Responsibilities

  • Day to day operations of a busy office including dealing with incoming calls, emails and office queries from the team.
  • Developing and organising administrative activities.
  • Organising and attending meetings.
  • Providing admin support to the Leadership team as required.
  • Deal with third party vendors/contractors/suppliers.
  • Manage office supplies.
  • Co-ordinate relevant training and maintain records as necessary.
  • Other ad-hoc duties as required.
  • Assisting with event management as relevant.
  • Completion of new customer forms.
  • Acting as PA for CEO.
  • Arranging refreshments for visitors onsite.
  • Point of contact for ordering incidentals across the full site e.g. equipment for new starters, smaller items required for premises.
  • Ensure company vehicles are maintained up to date, serviced etc as required.
  • Booking training courses and ensuring attendance and smooth running of.
  • Booking and arranging lunches as relevant for meetings and visitors.
  • Welcome visitors and ensure they follow correct procedures when on site.
  • Using a variety of software packages including the full Microsoft suite.
  • Seek out opportunities and drive initiatives aimed at improving admin processes.
  • Booking transport and accommodation and arranging appointments for staff members.
  • Facilities organisation.
  • Diary Management.
  • Supervision of external cleaning operators.
  • Continually focus on performance management across each of the 3 Eirtrade performance pillars.

What we are looking for:

  • 5+ years experience in an office Manager or lead admin/executive assistant type role.
  • Ability to communicate both internally and externally to a high standard.
  • Strong organisational skills are essential.
  • Ability to influence a variety of stakeholders.
  • Ability to apply integrity and good practice across all activities and initiatives.

Skills:

  • Demonstrate behaviour in accordance with EirTrade Business Ethics and Protection policy in all company business dealings and decisions.
  • Ability to work in a fast-paced environment handling multiple tasks taking ownership end to end.
  • Takes initiative, is a resourceful and innovative problem solver
  • Self-motivated and self-driven, possess excellent verbal and written communication skills and enjoy working as part of a small entrepreneurial team.
  • Advanced knowledge of full Microsoft suits – Excel, word, powerpoint, outlook
  • Proven ability to manage time and workloads for maximum efficiency.
  • Team player and enjoy working with & supporting colleagues
  • Fluent English is essential

Candidates please note. As we are located in Greenogue Business Park, Rathcoole own transport is essential. Candidate must have the right to permanently work in Ireland at the time of application. Our working hours are 8.30 – 5.30 Monday – Friday. Interviews will take place in person at our Head Office.
