Job Summary
We are looking for a detail-oriented and proactive Sales Office Administrator to support our sales & purchasing teams in the aviation spare parts industry. This role involves handling administrative tasks, managing order processing, coordinating with customers and suppliers, and ensuring smooth office operations. The ideal candidate will have strong organizational skills, excellent communication abilities, and experience in a sales or administrative role.
Responsibilities
- Assist the sales team with processing sales orders, purchase orders, and invoices
- Assist with the processing/tracking of exchange orders, ensuring timely delivery and EirTrade QA standards are being met at all times
- Follow up on orders with internal and external stakeholders to ensure timely delivery and customer satisfaction
- Coordinate with suppliers and logistics partners to track shipments, ensuring costs are billed correctly
- Assist managers in resolving any order discrepancies or issues with customers and vendors
- Prepare sales / purchasing / stock reports for internal and external use
- Handling of general office administration to support the team, managers & directors
What we are looking for:
- Aviation experience preferred but not essential
- Previous experience in sales administration, office management, or a similar role is an advantage
- Experience using Salesforce/Avsight is an advantage
- MS Office skills with intermediate/advanced proficiency in MS Excel
- Excellent communication and interpersonal skills with the ability to interact at all levels of the company and with external parties
- Capacity to apply common sense and pragmatism as required
- Ability to apply integrity and good practice across all activities and initiatives
- Strong numerical ability and excellent attention to detail
- Strong work ethic, work well under pressure and possess a determination to exceed goals
- Strong organizational and multitasking skills
